SCHEDULING WITH CARE: KEEPING THE ECOSYSTEM STRONG

We know families are busy, and unexpected things happen—life moves fast! That is why our scheduling process is designed to be as supportive and collaborative as possible.

HOW WE DO IT:

WORKING TOGETHER

We give you the opportunity to collaborate with other coaches early on to build a schedule that minimizes conflicts from the start.

THE PRE-PUBLISHED WINDOW

You have full opportunities to make last-minute tweaks before the final schedule is locked in and published.

PROTECTING THE ECOSYSTEM

Once the final schedule goes live, however, it takes a delicate ecosystem to keep everything running smoothly. As Coach Genevieve always reminds us: "Everything. We. Do. and Say. Matters.—on and off the field."

THINK BEYOND YOUR OWN SIDELINE

Just because an opposing team can technically field a team at a new day or time doesn't mean the switch is harmless. They might still be missing two or three of their own players due to the shuffle—and forcing them to play short-handed is definitely not fair to those athletes.

THE RIPPLE EFFECT

When one piece of the puzzle moves, everyone else is left scrambling to make the pieces fit again. Imagine two teams requesting changes—then five, then ten. What total chaos! Let’s avoid making decisions from a place of convenience that unintentionally creates chaos and unfair disadvantages for others.

OUR MAIN GOAL: LET'S PLAY

At the end of the day, we want teams to show up and PLAY so everyone gets a great day of flag football fun. We believe kids and coaches want to compete on the turf—not take an empty "win" by forfeit.

HOW CAN YOU HELP MINIMIZE THE CHAOS?

To keep things streamlined and take the pressure off the entire community, any necessary adjustments after publication require a Change Request Form.

Please note: Submissions may or may not be approved by the league, but you will always hear back from us within 48 hours.

YES, WE NEED YOUR HELP!

ONLY SUBMIT A CHANGE REQUEST IF ONE OF THE FOLLOWING SCENERIOS APPLY:

You have LESS THAN 5 PLAYERS

You have the option to:

  • Keep your current game time, but request subs (provided by the league).  This will constitute a forfeit but will allow your team to play.
  • If there are extenuating circumstances, you can request a new game time.  If one is available, the league will work the opposing team to see if they can make the switch.  If not, you will need to forfeit the game.  However, you can still request league approved subs and keep the original time, but understanding, it is still a forfeit.

YOU HAVE 5+ PLAYERS

You have the option to:

  • Keep your current game time but request subs (provided by the league).  This will constitute a forfeit but will allow your team to play.
  • You can request a new game time (for any reason), however, if a change is made, it will constitute a forfeit.  If the opposing team can not make the switch, you will play at the regularly scheduled time and not forfeit the game.

TIME CHANGE (SAME DAY ADJUSTMENTS)

When you are trying to change a game time on the exact same day it was originally scheduled, timing is everything.
To protect the ecosystem and keep things running smoothly, please keep the following in mind before submitting:

CHECK FOR OPEN SPACE
(CRUCIAL!)

Find an Available Slot: Please review the current schedule first. There must be an open field and time slot available on that day.

Alternative: If no field is open, you may suggest the practice field, usually grass, so this is less ideal.

CHECK FOR MULTI-TEAM COACHES
*LOOK FOR THE ASTERISK*

If a team number has an asterisk next to it, that coach is managing multiple teams.

Be Mindful of Their Schedule: Prioritize game times that align logically right before or right after their other team's practice/game. Let's save them from having to sit around for hours between games or drive home and back!

(We will gladly provide the team numbers for their other squads upon request).

When you are trying to move a game to a completely different day, it impacts more than just your personal calendar—it ripples across the entire league.
To protect the ecosystem and keep things running smoothly, please keep the following in mind before submitting:

WATCH OUT FOR DOUBLE HEADERS
(TEAMS & COACHES)

Opponent Check: Make sure your proposed day doesn't accidentally land your actual opponent into a grueling third game if they are already scheduled for a double-header.

Coach Check: Just like multi-team coaches, check whether either team's coach is already at maximum capacity with a double-header on that new day. Let's protect our players' and coaches' energy!

SUB REQUEST

When you find yourself short-handed on game day, we know how important it is to keep the momentum going for your players. To protect the ecosystem, support your roster, and keep things running smoothly for everyone involved, please keep the following in mind before submitting:

Important Note on Subbing

  • League-Managed Roster Protection: To ensure fairness, safety, and proper insurance coverage across all games, teams may not recruit or add their own independent subs. All substitute players must be officially coordinated and placed through the league!

NUMBER OF COMMITTED PLAYERS

Current Roster Count: Let us know how many players you officially have confirmed and ready to take the field for the upcoming game.

PREFERENCE ON # OF SUBS

Your Ideal Setup: Tell us how many substitutes you are looking to bring in so your team can play a full, competitive, and fun game without overloading the sideline or taking away precious playing time from your core roster.
We will always do our absolute best to support you, though exact numbers cannot be guaranteed!
